Release 34.0

On July 15th, 2017, MeetMax puts into production a new release of its MeetMax online registration and event management system. This latest release includes a number of enhancements to existing features based on feedback from clients, as well as new features driven by client requests and market demands. We're especially excited to expand our new MeetMax Mobile® app.

Here's a quick summary of the new features and improvements included in the latest release:

  • Expanding MeetMax Mobile® Native App functionality
    • The latest release now introduces the ability to send targeted push notifications to event attendees, and for Event Administrators to see which attendees have logged in to the App.
      • You can target attendees of a specific meeting, with specific requests, or a specific activity and send an alert notification to just those people.
      • Without having to ask anyone, or log into any other site - you will know exactly who has downloaded the app and logged in. So when you send notifications, you will know precisely who gets it.
    • Drop a line to [email protected] for a live demonstration at your convenience!
  • NEW Enhanced Conflict Management for Activities and Presentations
This feature has been a frequent request for the past several years from clients. Specifically, the desire from event hosts has been to have the ability to decide whether attendees who sign up for presentations or activities should be prevented from also having meetings at the same time. We know that different clients have different preferences in this area so we haven't changed the default behavior (which does allow for conflicting meetings and activities/presentations). Instead, we have introduced new settings on the "Enable Features" menu which will allow event administrators to decide on a per-event basis whether the system should prevent conflict between these different modules.
  • NEW Request Automation "Sandbox"
This new feature allows you to "test" the results of running batch meeting creation before committing to doing it "live". When using the "Fill Requests" feature at the event-wide level, take note of the new "Run in sandbox environment" option.
  • NEW Usage Tracking for MeetMax Mobile® and MeetMax Public Site
We're very excited to introduce a new feature which allows for easy integration with Google Analytics® to track usage of MeetMax Mobile as well as your event marketing sites in MeetMax.
  • Continued Development of MeetMax CheckIn® with QR Code Ticketing
    • As our new CheckIn badging system continues to gain adoption by more clients, we are improving and refining this new product. Clients from several different sectors of events management are seeing dramatically improved attendee experiences as wait times at the registration desk are being reduced and waste is being reduced through on-demand badge printing.
    • The latest release includes deployment of a new feature which allows event participants to scan a barcode to retrieve/print their meeting schedules. This provides a self-service kiosk to get the latest schedule without having to stand in line at the 1x1 desk.
    • Our latest updates also improve the WiFi power and range of our badging server, the ability to implement greater visual distinction between attendee types on the check-in list, as well as improved server log features for technical troubleshooting on-site.
    • Drop a line to [email protected] for a live demonstration at your convenience!
  • NEW Presentation Sign-Up Reporting
This new feature is the result of a long-standing request from clients who allow attendees to sign up for presentations. Specifically, we have created a new report within the Presentations module called "Attendees" that reports back which attendees have signed up against specific presentations in the system. In addition to adding detail to your conference planning to assign rooms to presentations based on interest - this also provides a vital record of interest areas on the part of your attendees. This can be used by account reps or speaker planners long after the event.
  • NEW Location Reservation Reporting
Under the "Meetings" → "Meeting Locations" menu within the administrator interface, you will see a new report titled "Reservations". This report provides a convenient way to generate reports on which attendees/companies have meeting locations reserved to them as well as which location(s) they have reserved.
  • NEW Form Editor Version Control
In this release we've introduced a new feature which will allow event administrators to restore a previous version of form configuration within the system.
  • NEW Archiving of Events
Historically, the MeetMax policy has always been to delete events after 15 months. The purpose of archiving events older than 15 months is to dramatically improve system performance on the production server. With this new release we're now offering systematic and immediate access all archived events moving forward. So we will return to removing events older than 15 months (other than Template events) but instead of deleting them - they will be available in an archive. Please contact [email protected] to inquire further about accessing the archive server.
  • IMPROVED Pending Company List
As more clients have taken to using payment processing in MeetMax, especially for presenting/sponsoring companies, we've expanded the functionality of the pending company list to include all of the same filtering and reporting functionality from the pending attendee list.
  • IMPROVED Meeting List Fields
We've added a new field to the Meetings list for "updated date" so that event administrators can now identify the date/time a meeting was last updated (e.g. – rescheduled or otherwise modified).
  • IMPROVED Combined Schedules Report
When trying to print combined schedules for ALL attendees, historically this report has opened up in one long HTML page. For our latest release we've paginated the report to make it easier for loading on computers with a slower connection or in events with very large numbers of attendees/meetings.
  • API Services Improvements
We've made several API service improvements, including:
    • Support for querying on "updated date" when using the meeting/active servce.
    • Enhancement to the meeting/active service which will now reflect edited meeting times rather than the "slot time" for meetings with an edited start/end time.

Please feel free to shoot us an e-mail at [email protected] if you have any questions about these new features. Also, don't forget that [email protected] is how you can generate new support requests via e-mail; or you can give us a call at +1 518 290 3050.
